Organize Photos on Mac: Simple Steps for Family Memories

Where Did That Birthday Photo Go?

Last week, my neighbor Carol came to me with a look of pure frustration.
“I know I took those photos of Lily’s birthday—there was the cake, the candles, the dog wearing a party hat… But I can’t find them anywhere on my Mac!”

Carol isn’t alone. Many of us have hundreds (or thousands) of digital photos spread across folders, devices, and sometimes—mysteriously—vanished into thin air. If this sounds familiar, don’t worry. Organizing your photo library on a Mac doesn’t require tech wizardry. It just takes a few simple steps and a little bit of know-how.

Let’s walk through the basics together—gently, clearly, and in a way that’ll have you smiling at your screen, not screaming at it.


Step 1: Open the Photos App (And Breathe)

Your Mac comes with a wonderful built-in app called Photos. You don’t need to download anything or create a new account—it’s already there.

  • Click the Launchpad (the rocket ship icon on your Dock), then click Photos.
  • Or, simply press Command + Spacebar on your keyboard, type “Photos,” and hit Enter.

Once opened, you’ll see a grid of images. If you’ve ever connected your iPhone to your Mac (even once), your photos may already be here.

Step 2: Import Photos (Optional But Helpful)

To move photos from a digital camera, USB stick, or a folder on your Mac:

  1. Plug in the device or open the folder.
  2. In the Photos app, click File > Import.
  3. Select the images you want to bring in.
  4. Click Review for Import, then Import All New Photos.

Your photos will now live in the Photos app, ready for sorting.


Step 3: Use Albums (Like Digital Photo Albums)

Think of Albums in the Photos app like old-school photo albums. You get to choose what goes in them, give them names, and keep related memories together.

Here’s how to create one:

  1. In the Photos app sidebar, click My Albums.
  2. Click the plus sign (+) at the top and choose Album.
  3. Give it a name (e.g., Hawaii Trip 2024Family Birthdays, or Amy’s First Day of School).
  4. Now drag photos from your main library into this album.

You’re not duplicating the photos—you’re just giving them a cozy home.


Step 4: Use Favorites to Find Your Best Shots Fast

Sometimes you don’t need a full album—you just want to find your best or most meaningful photos quickly.

In the Photos app:

  • Click the heart icon ❤️ (don’t worry, it won’t actually draw a heart!) on any photo you love.
  • These are automatically added to a smart album called Favorites.

It’s the perfect spot for your grandchild’s goofy smile or that amazing sunset you snapped last summer.


Step 5: Add Keywords and Captions (Optional, But Powerful)

Want to find photos easily in the future? Add keywords or captions:

  1. Select a photo.
  2. Press Command + I or click the info (“i”) button.
  3. Write a few words like “Thanksgiving 2023” or “Grandma’s house.”

Later, you can search those words to find photos instantly.


Real Story: Carol’s Birthday Rescue

Back to Carol and her disappearing birthday party photos. We opened her Photos app together, and sure enough—they were all there, but buried in a sea of screenshots and vacation selfies from 2018.

We created a new album called Lily Turns 7 and dragged in her favorite shots. Then we added captions like “Blowing out candles” and “Surprise face when she saw the cake.” Carol was glowing. “Now I feel like I’ve really saved the day,” she said.

And just like that, memories became treasures—not clutter.
